1. Introduction

Welcome to the Pay It Forward Hub booking website. By booking activities, events, classes, sessions, parties, or services through this website, you agree to these Terms & Conditions.

These Terms apply to all bookings and participation in activities operated by the Pay It Forward Hub.

2. Bookings

  • All bookings are subject to availability.
  • A booking is only confirmed once payment has been successfully received (either by card or by using available wallet credit — see section 5).
  • It is the responsibility of the person making the booking to ensure all information provided is accurate.
  • Parents/guardians booking on behalf of children confirm that they have legal responsibility for the child attending.

3. Payments

  • Full payment is required at the time of booking unless otherwise stated.
  • Card payments are processed securely by Stripe. We do not store full card details on our servers.
  • Where the parent has sufficient wallet credit (see section 5), the booking may be paid for fully using that credit instead of a card. Top-ups to the wallet are not available — wallet credit is only generated by us.
  • Prices may change at any time without notice. The price shown at the moment of booking is the price that applies.
  • We reserve the right to refuse or cancel bookings where payment has not been received.

4. Refund & Cancellation Policy (Customer-Initiated)

Important: No cash refunds for customer-initiated cancellations

By completing a booking, you acknowledge and agree to the following:

  • All customer-initiated cancellations are non-refundable.
  • Customers must ensure they are available and able to attend before making a booking.
  • We understand that unexpected situations can arise which may prevent attendance. However, once a booking has been made, the space has been reserved and removed from availability for others.

Because spaces are limited and demand for activities may be high, refunds will not be issued for:

  • Non-attendance
  • Illness
  • Change of mind
  • Scheduling conflicts
  • Forgotten bookings
  • Transport issues
  • Weather-related personal circumstances

In exceptional circumstances, we may choose, entirely at our discretion, to offer:

  • A transfer to another session, or
  • Wallet credit (see section 5) as a goodwill gesture.

This is not guaranteed and will be considered on a case-by-case basis. Cash refunds for customer-initiated cancellations will not be issued under any circumstances.

5. Wallet Credit

The booking platform includes a personal "wallet" held against each parent's account. Wallet credit operates under the following rules:

  • How credit is earned: wallet credit is added to your account when (a) we cancel an activity you have paid for (see section 6), or (b) at our discretion, as a goodwill gesture.
  • No top-ups: you cannot pay money into your wallet. Wallet credit is only ever issued by us.
  • Non-withdrawable: wallet credit cannot be paid back to a bank account, card, or any third party. It has no cash value and cannot be exchanged for cash.
  • Non-transferable: wallet credit is tied to your account and cannot be transferred to another person or account.
  • Currency: wallet credit is denominated in pounds sterling (GBP).
  • How it is spent: at checkout, if your balance covers the full price of an activity, you will be offered the option to pay using wallet credit instead of a card. Partial payments (wallet credit plus card top-up for the difference) are not currently supported.
  • Expiry: wallet credit does not expire while your account remains open and the platform remains in operation.
  • Account closure: any remaining wallet credit is forfeited if you close your account, if we close your account for misconduct (see section 7), or if the Pay It Forward Hub booking platform is permanently discontinued.

6. Cancellation or Changes by Us

We reserve the right to:

  • Cancel, postpone, or reschedule activities where necessary
  • Change activity leaders, venues, or timings
  • Refuse participation where behaviour is deemed unsafe or inappropriate

If we cancel an activity:

  • Every parent with a confirmed booking will be automatically reimbursed the full amount paid, in the form of wallet credit added to their account.
  • You will be notified by email when the activity is cancelled, and the credit will be available in your account immediately.
  • Wallet credit issued in this way is non-withdrawable (see section 5), but can be used straight away to book onto any other available activity.
  • Where a paid alternative session is offered and accepted, wallet credit may be applied to it.
  • A cash refund is not provided by default. If you specifically require a cash refund for an activity cancelled by us, you may request one in writing; these requests will be considered on a case-by-case basis.

7. Behaviour & Conduct

We aim to provide a safe, welcoming, and inclusive environment for everyone.

We reserve the right to remove or refuse entry to any individual whose behaviour:

  • Is abusive, threatening, discriminatory, or disruptive
  • Puts staff, volunteers, or participants at risk
  • Damages property or equipment
  • Negatively impacts the experience of others

No refund or wallet credit will be provided where removal is due to misconduct. Where an account is closed for misconduct, any remaining wallet credit is forfeited.

Children attending activities remain the responsibility of their parent/guardian unless explicitly stated otherwise.

8. Health & Safety

  • Participants attend activities at their own risk.
  • Parents/guardians must inform us of any relevant medical conditions, allergies, behavioural needs, or additional support requirements before attendance.
  • We may refuse attendance where essential information has not been disclosed.
  • In the event of an emergency, basic first aid may be administered and emergency services contacted where appropriate.

9. Photography & Media

Photographs or videos may occasionally be taken during activities for promotional, safeguarding, or community purposes.

By attending activities, you may consent to the possible use of images on:

  • Social media
  • Websites
  • Marketing materials
  • Funding reports

Photo and social media permissions are collected per child during account setup. The choice you record on each child's profile takes precedence over this clause. You can update those choices at any time from your account, and you may also notify us in writing before the activity begins if you do not wish for you or your child to appear in photographs or videos.

10. Communications & Emails

By creating an account and booking activities, you agree to receive operational emails from us. These include, for example:

  • Booking confirmations and receipts
  • Notices about activities being cancelled, rescheduled, or moved, including wallet credit confirmations
  • Service messages from staff to parents booked on a specific activity (e.g. reminders, things to bring, venue changes)
  • Account and security messages such as password resets and email verification

These operational emails are sent from noreply@boomerangcardiff.org.uk and cannot be opted out of while you have an active account or active bookings, as they are necessary to provide the service.

We do not send marketing or promotional broadcasts through this platform.

11. Personal Property

We accept no responsibility for:

  • Lost property
  • Damaged belongings
  • Stolen items

Participants bring personal belongings at their own risk.

12. Liability

To the fullest extent permitted by law:

  • We shall not be liable for any indirect or consequential losses.
  • Our total liability relating to any booking shall not exceed the amount paid for that booking.
  • Nothing in these Terms excludes liability for death or personal injury caused by negligence where such exclusion is unlawful.

13. Website & Account Use

You are responsible for keeping your login credentials secure and for any activity that takes place under your account. Please notify us immediately if you believe your account has been accessed without your permission.

Users must not:

  • Attempt to disrupt or interfere with the website
  • Submit false information
  • Use the website for unlawful purposes

We reserve the right to suspend access where misuse is suspected.
